We replaced Vermont Afterschool's tangle of legacy tools with a single custom Odoo platform, migrating hundreds of thousands of records with zero data loss.
The challenge
No single source of truth.
Vermont Afterschool ran on six disconnected legacy systems for contacts, events, donations, communications, forms, and sub-grantee reporting. There was no single source of truth, duplicate records lived across tools, many hours a week were lost to manual data entry, and reporting was unreliable for a funding-accountable nonprofit.
What we did
One relational platform, built to own.
- Ran a forensic data audit across all six systems and mapped every entity, duplicate, and quality issue.
- Redesigned the information architecture into one relational platform (custom Odoo ERP/CRM) as the single source of truth for organisations, programs, sites, events, funding, and constituents.
- Built custom features: searchable directories, interactive geographic mapping, a staff-accessible query builder, a donations and payment portal, customer-facing and staff event ticketing, a survey system, email marketing, and grant-application workflows.
- Set up role-based permissions and delivered extensive training and documentation, so non-technical staff can run and extend the platform without a developer.
